Privacy Policy
Effective date: October 12, 2026 · Last updated: October 13, 2026
Draft for owner and legal review. This Privacy Policy is a working draft. It is not a final policy and should not be relied on as one until ACA approves it. Bracketed items still need confirmation.

1. Scope
This Privacy Policy explains how ACA collects, uses, shares, and retains personal information in connection with our website, inquiries, Founding Charter Program, intake forms, customer communications, and services.
It applies whether information is provided through an online form, email, an in-person conversation, a telephone conversation, or a scheduled video meeting.
Third-party websites and services have their own privacy practices. This policy does not replace their notices.
2. Information we collect
Depending on your interaction with ACA, we may collect:
- Contact information: name, business name, role, email address, telephone number, and relevant business location or service area.
- Inquiry and intake information: service interest, business objectives, public asset links, customer-contact processes, operating constraints, research criteria, and other relevant information you choose to provide.
- Communications: messages, clarification questions, meeting notes, and service-related correspondence.
- Engagement records: approved scope, agreement acknowledgments, payment status, delivery dates, deliverables, and support or refund requests.
- Public-source information: publicly available business websites, profiles, directories, contact routes, and other sources relevant to the agreed service.
- Technical information: information processed by our website host or form provider, which may include IP address, browser/device information, timestamps, and security or submission logs.
We ask you not to submit passwords, full payment-card information, banking credentials, government identification, private customer records, or other unnecessary sensitive information through our general forms or email.
3. Payment information
Payments are processed through Stripe’s hosted payment services.
ACA may receive transaction information needed to administer an engagement, such as customer contact information, the purchased service, payment amount, payment status, and a transaction reference. We do not ask you to enter full card details into ACA’s intake forms.
Stripe separately processes payment and transaction information under its own privacy notice.
4. How we use information
We use information as reasonably necessary to:
- Respond to inquiries and evaluate service fit.
- Verify and respond to Charter invitations.
- Define and administer an engagement.
- Conduct the agreed diagnostic or public-source research.
- Prepare and deliver reports, research maps, trackers, and recommendations.
- Match intake records with payments.
- Communicate about deadlines, missing information, clarification, and support.
- Maintain business, accounting, agreement, and dispute records.
- Protect our systems and investigate suspected misuse.
- Meet applicable legal obligations.
We do not use a service inquiry as permission for unrelated marketing. Where we seek permission for optional marketing communications, that choice is separate from required service communications.
5. Service providers and information sharing
We may share relevant information with providers that support our operations, including website hosting, form processing, email, payment processing, customer-record management, file storage, electronic signatures, and scheduling.
Our current operational providers are:
- Stripe — hosted payment processing.
- Netlify — website hosting, associated technical services, and inquiry and intake form submission processing (Netlify Forms).
- Akismet (Automattic) — automatic spam screening of form submissions, performed through Netlify Forms.
- Business email, file storage, and engagement-record providers — business communications, deliverable storage, and engagement records.
- AI-assisted tools — limited support for parts of ACA’s work, as described in section 6.
We limit the information shared to what is relevant to the provider’s function. Providers may process information in the United States or other countries according to their service arrangements.
We may also disclose information when reasonably necessary to comply with law, respond to lawful requests, protect rights or safety, or obtain professional legal, accounting, or insurance advice.
6. AI-Assisted Work
ACA uses some AI-assisted tools in parts of its work, such as organizing research and drafting. They support ACA’s team; they do not replace it. People at ACA review and remain responsible for everything ACA delivers. ACA limits the personal information shared with these tools and never enters passwords, payment details, or other sensitive information into them.
7. Cookies and website technologies
Our website and its providers may use technologies necessary for site operation, security, and form submission. Stripe may use its own technologies when you access its payment pages.
The ACA website does not set cookies. It does not use analytics, advertising pixels, session recording, embedded social media, or third-party fonts, and it does not store form answers in your browser. To prevent spam and accidental duplicate submissions, the site keeps only a short list of submission times (no names, answers, or other personal information) in session storage for that browser tab, which is deleted when you close the tab. Our website host, Netlify, does not set cookies on visitors to this site in its default configuration, though it may keep standard server logs (such as IP address, browser type, and time of request) for security and operation.
Because the website uses no optional cookies, it does not show a cookie consent banner. If ACA adds analytics, embeds, or other optional technologies, this section will be updated and consent will be requested where required before they are used.
Any optional tracking or consent controls will be implemented as required for the actual technologies, visitors, and jurisdictions involved.
8. Retention
We retain information for as long as reasonably necessary for the purpose for which it was collected, including service delivery, customer support, accounting, agreement administration, legal obligations, and the resolution of disputes.
Retention may differ by record type. Information subject to legal requirements or a legitimate dispute hold may be retained longer.
When information is no longer needed, we seek to delete or de-identify it through our operational systems. Backup copies may remain until they are overwritten or expire under the applicable provider’s processes.
9. Security
We use reasonable administrative and technical measures appropriate to the information we process, including access restrictions and available account-security controls.
No website, email system, storage provider, or transmission method can be guaranteed completely secure. Please avoid sending unnecessary sensitive information.
If an incident creates a legal notification obligation, ACA will respond in accordance with applicable requirements.
10. Requests and communication preferences
You may use the privacy and data request form, or contact ACA through the ACA contact form, to:
- Correct inaccurate contact or intake information.
- Request information about our handling of your personal information.
- Request deletion of information, subject to applicable obligations and permitted exceptions.
- Withdraw optional marketing permission.
- Exercise privacy rights available under applicable law.
We may request proportionate verification before responding. Some records may need to be retained for accounting, agreement, security, or legal purposes.
Withdrawing marketing permission does not prevent necessary communications about an active engagement.
11. Meetings and recordings
ACA may take written notes during customer conversations. Written notes are covered by this policy.
ACA does not record telephone or video conversations as a default practice. If recording is proposed, we will explain its purpose and obtain any consent required before recording begins.
12. Children
ACA’s services and website forms are intended only for adults aged 18 or older who are business owners or authorized business representatives. Each form asks you to confirm that you are at least 18. We do not knowingly collect personal information from anyone under 18, and we do not offer services to minors.
If you believe someone under 18 has provided personal information to ACA, contact ACA through the ACA contact form and we will delete it.
13. Changes and contact
We may update this policy to reflect changes in our practices or applicable requirements. The effective date above identifies the current version. Where required, we will provide additional notice of material changes.
